How this works

Open this app from My Apps in Microsoft 365 (or bookmark it). You're signed in with your normal HSDL Microsoft account.

You write the newsletter in the boxes. The design is fixed, so it always comes out in HSDL style. Everything saves by itself, and everyone on the team sees the same draft.

The four steps

  1. Write. Fill in the boxes. The grey text in each box is an example. The email on the right updates as you type.
  2. Check. The page checks for missing pieces. Click Fix next to anything with a red mark.
  3. Test. Send the email to yourself. Open it on your computer and your phone, and click the links.
  4. Send. Pick the mailing list and press send. Once sent, the issue locks so it can't be changed by accident.

Choosing a layout

The top of the email and the bottom never change. Pick the middle to suit what you have to say:

  • Dispatch: the usual issue. A feature story, one lab service, and news.
  • Spotlight: one project told in full (250–500 words), with a big picture, a pull quote and up to three key figures.
  • Roundup: 3 to 6 short items, each a headline, a line or two and a link. Good for busy months.

You can switch layouts at any time. Text written for the other layouts is kept, so switching back brings it back.

Adding a picture

  1. Log in to Wix and open the HSDL site's dashboard.
  2. Open the Media library and upload your picture (a wide 1200 × 630 picture works best).
  3. Open the picture's details and copy its link. It starts with https://static.wixstatic.com/.
  4. Paste the link into the Picture link box.

Stuck? Send the picture to Loz and ask for the link.

Writing tips

  • Write to a product manager at a helmet brand: specific, technical, no hype.
  • Say what the client needed, what HSDL did, and what changed. Numbers help.
  • Never name or show a client, or use their test data, without their written OK.

Colours

Each issue picks a colour in step 1: Core, Engineering & Development or Test Lab. The Colours button in the top bar changes the palette for everyone; emails already sent keep their colours.

Backup

If something goes wrong

  • "Sending isn't set up": the server is missing its Resend key. Tell Loz.
  • Asked to sign in again: use your normal HSDL Microsoft account, the same one as Outlook.
  • "Couldn't save": check your internet connection, then type anything to try again.
  • Someone else is editing: their name shows in the top bar. Agree who's writing which part.
  • Sent something by mistake? It can't be recalled. Tell Loz straight away.

Brand colours

Changes show in the email preview straight away. Nothing changes for the team until you press Use these colours for everyone.
